Terms of service

These are the terms you agree to when you open an AssetPass account. We’ve written them the way we’d want to read them. If anything here isn’t clear, email us and ask before you sign up.

What AssetPass is

AssetPass is a subscription service for tracking the registration, inspections, servicing, checks and repairs of the assets your business runs. We host it, maintain it and keep it available. You use it over the internet; there is nothing to install and no licence to buy.

AssetPass is a record keeping tool, not a compliance guarantee. It tells you what is due and keeps the evidence of what was done, but keeping your assets roadworthy and legal, and meeting your obligations under heavy vehicle law, remains yours. A reminder we send, or fail to send, does not change that.

Your account

You need to give us accurate details and keep your password to yourself. You’re responsible for what happens under your account and under the accounts of the crew you add to it. Tell us promptly if you think someone has got in who shouldn’t have.

You must be authorised to act for the business you sign up, and you must be at least 18.

The trial

New accounts get 30 days free with every feature switched on. We don’t take a card to start it, so there is nothing to cancel. If you don’t continue at the end of it, the account becomes read only rather than being deleted. Your assets, prestarts, jobcards and documents stay where they are and you can still open, search and print them.

What it costs

Pricing is published at assetpass.com.au/pricing and is charged per asset per month, not per user: $7 for every asset, whatever it is, with a $35 monthly minimum. All prices are in Australian dollars and exclude GST.

You are billed for the assets in your account. An asset counts for any month it was in service: take one off the register and it stops billing until it comes back, and its history stays either way. Add or remove assets whenever you like and the next invoice follows. Subscriptions run month to month and you can stop whenever you want; we don’t refund part months. If you’d rather pay for a year up front, ask us and we’ll invoice you for one, with two months free.

We’ll give you at least 30 days’ notice by email before any price change, and it will never apply to a year you have already paid for.

Your data is yours

Everything you put into AssetPass belongs to you: your assets, schedules, prestarts, faults, jobcards, costs, photos and documents. We don’t sell it, we don’t share it for advertising, and we don’t use one customer’s data to serve another.

We access it only to run the service, to fix a problem, or when you ask us to help with something. You can export or ask for a copy at any time, including after you stop paying. Ask us to delete your account and we will delete it and its data.

Fair use

Don’t use AssetPass to break the law, to store material you have no right to, or to try to get at another customer’s data. Don’t resell it as your own service, and don’t attack, scrape or overload it. Users are unlimited so long as they are your own people. Sharing one account with another business isn’t on.

If something you do puts the service or another customer at risk, we may suspend the account while we sort it out. We’ll tell you why.

Availability

We work to keep AssetPass available and backed up, but no online service is up every minute. We may take it offline for maintenance, and we’ll avoid business hours where we can. We don’t promise a specific uptime figure, and we’d rather say that than print one we can’t stand behind.

Keep your own copy of anything you can’t afford to lose. We take backups, but they are our safety net, not a substitute for yours.

Where we stand if something goes wrong

Nothing here limits your rights under the Australian Consumer Law, and we don’t try to exclude any guarantee that law gives you.

Beyond those rights: AssetPass is provided as it is, and to the extent the law allows, our total liability for any claim connected with the service is limited to the fees you paid us in the 12 months before it arose. We aren’t liable for lost profits, lost work, or fines and penalties imposed on your business.

Ending it

You can stop at any time. Tell us, or simply stop paying, and the account goes read only at the end of the period you’ve paid for. We can end an account that goes unpaid, or one in serious breach of these terms, with notice and a chance to fix it where that’s reasonable. Either way, we’ll give you a copy of your data if you ask.

Changes to these terms

We may update these terms as the service changes. If a change materially affects you, we’ll email you before it takes effect. Carrying on using AssetPass after that means you accept the new version.

The legal bits

These terms are governed by the law of Australia and the courts there deal with any dispute. If any part of them can’t be enforced, the rest still stands.
