Hose tests, millipore tests, and the certificate for each
A fuel carrier pressure tests the delivery hose on every tanker every 6 months, runs a millipore test every 3, and has to prove each one with a certificate. Set a test up once, say how often, and assign it to the assets it applies to. Record it on the asset with the day it was done and a photo or PDF of the certificate, and the next one counts down from that day.

Every repair, start to finish, no paper
Raise a job, work it on the iPad, clock on and off, tick off the work, and the completed card becomes the service record. Mechanics get a simple On the job view; the office confirms hours, adds parts and attaches the invoice. Every card you have ever raised is a search away, by its number, the asset, the rego or the work done.

Plan the week on one board

Drivers run their prestart and flag faults from the yard on their phone. No lost paperwork. Fail an item that stops the asset and the phone tells the driver not to drive it. Every fault flows straight to the workshop to action and put on a jobcard.

Everyone has a shoebox. Take a picture of a filled in paper jobcard and the Assistant reads the work, the parts, the meter reading and the cost, shows you what it read, and files it against the asset when you say yes.
