Your staff
AssetPass counts down a licence, a medical or a ticket the same way it counts down a rego, so an expired HC licence shows up on the dashboard before anyone drives on it.
You do not need this to get started, and adding someone in the app takes less than a minute. Do the assets first.
There is a tab in it called Your staff. The only thing we need on a row is a name.
One row per person, the same as one row per asset on the tab before it.
Their licences and tickets run across to the right, up to four, each with the date it expires beside it. Most people fill in one or two and leave the rest empty. Somebody with more than four goes on a second row with their name on it, or you just tell us in the email.
The role column is the only thing in the whole file that is not a description. The owner is the login that can add assets, add people and change settings, and on day one exactly one person should have it. It is usually you.
Everyone else is your own words. Driver, operator, mechanic, yard hand, 2IC. We read it and set their login up to match, and nobody is asked to know what any of our permission levels are called.
HC licence. Forklift LF. First aid. HV medical. ASIC. Whether that counts as a licence, a medical, an ASIC or a ticket is our problem, not yours.
If you know the expiry, send it. If you do not, send the person anyway and it will read not tracked until someone fills it in.
An email address means that person gets a login. No email means no login, and they still show up on the dashboard. Logins are unlimited and free, so anyone who will run pre start checks on a phone is worth putting one against.
If you already keep them somewhere else
Send that instead and leave the tab empty. A spreadsheet, a photograph of the licence wall, or the cards themselves laid out on a desk. One row or one card per person is all the shape it needs.
